Subject:Asking for approval about the suggestions of the complaints

Dear Ms Kong

I am writing this letter to ask for your approval about the complaint letter on 10 March 2011.Following are the relevant problems and suggestions:

1. Online registration failure
This was caused by our limited bandwidth so that Mr. Leung found it difficult to have access our on-line registration system. It is suggested that the we might upgrade our internet system in order to provide wider bandwidth.

2.Overcrowding problem in the exhibition
This was due to the communication problem with the exhibition staff, who wrongly booked the small-sized exhibition room. It was recommended to use email instead of telephone to record booking details so that the any human errors can be eliminated.

3.Insufficient number of leaflets
This was because we concern about the environmental protection. Therefore, we limited the supply of leaflets. For the solution, it is suggested that e-leaflets can be downloaded from our website.

Re: Feedback on Sound Systems 2011, 10 March 2011

I am writing to inform you that your comments on the exhibition Sound Systems 2011 are accepted and after discussion we have made a series of improvement actions. We deeply apologize for any inconvenience caused.

For the inaccessible on-line registration system, this was due to our limited bandwidth. After receiving your feedback, we have immediately upgraded our on-line system in order to provide wider bandwidth and better service.

As for the overcrowding situation in the exhibition, this was because our staff wrongly booked the small-sized exhibition room. Afterward, we have decided to use email instead of telephone to record booking details accurately so that the any human errors can be eliminated.

Finally, the reason for inadequate leaflets is our deep concern on environmental protection. Actually we provide e-leaflets which can be downloaded from our website: abccompany.org.hk.

We do appreciate your meaningful comments and thereby we will provide a free ticket for the coming exhibition to you.
